JOB DESCRIPTION:

- Administer leases as dictated by contractual management agreement, including lease abstracting.

- Communicate with owner/asset manager as directed.

- Prepare annual operating budgets and annual CAM reconciliations for property.

- Prepare annual rental coupons for tenants.

- Prepare monthly variance reports to owners.

- Manage accounts receivables, including notifying tenant of receivable.

- Prepare default letters and work with legal counsel in accordance with owner directives regarding lock-outs as needed.

- Visit properties and tenants regularly to establish and maintain a positive rapport.

- Perform annual property inspections and complete inspection reports as required.

- Perform tenant improvement and capital improvement oversight.

- Coordinate maintenance repairs & construction with vendors and tenants.

- Assign work orders to building engineers and/or vendors and respond to tenant requests in a timely manner.

- Review and approve payables for property, including tenant bill-backs.

- Maintain annual service contracts, including certificates of insurance for vendors and tenants. 

- Prepare and provide new tenant onboarding packages to new tenants, including activating building access cards.

- Senior PM Only – provide mentorship to the other Property Managers and other PM team members, including but not limited to periodic check-ins to assure they have the proper tools they need to fulfill their job duties.  Lead by example.

 

QUALIFICATIONS:

Candidate must have the ability to read, analyze, and interpret general business periodicals, leases, professional journals, technical procedures, and/or governmental regulations.  Candidate must also have the ability to effectively present information and respond to questions from managers, tenants, vendors, and the general public in a timely manner.

 

EDUCATION/EXPERIENCE:

High school diploma or general education degree (GED); or two to five years related experience and/or training; or equivalent combination of education and experience.  Candidate must be proficient with Microsoft Office, including intermediate Excel functions; advanced Excel, Yardi, MRI and/or Kardin preferred. Candidate must also have the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  RPA or CPM planned or in progress; Real Estate License planned or in progress.  Institutional property management experience required.
